This is a remote position.
This is a position within Haldren and not with one of our clients.
This fully remote senior role provides dedicated executive support to the Managing Director of an international executive search firm, with a focus on organisation, prioritisation, and operational follow-through across a fast-paced and demanding schedule. Given the global nature of the business, availability across time zones is an important aspect of the role and a degree of schedule flexibility, including occasional evenings, is required.
This is a new role within a fast-paced, growing organisation, with a defined initial budget. It is well suited to someone who enjoys building structure, setting up processes, and helping shape a function from the ground up. As the role becomes established and demonstrates impact, compensation can be reviewed.
Key Responsibilities
- Manage the MD's calendar, schedule and daily priorities to ensure time and attention are directed effectively
- Track commitments, decisions and action items to ensure consistent follow-through
- Prepare agendas, briefing documents and meeting notes with clear action tracking
- Manage correspondence and stakeholder communication on behalf of the MD with discretion and professionalism
- Plan, coordinate and run meetings on behalf of the MD, including preparation, facilitation and post-meeting follow-through
- Coordinate research initiatives and team projects, ensuring clarity of brief, progress tracking and timely delivery
- Delegate and direct tasks across internal teams on the MD's behalf, ensuring accountability and follow-through
- Liaise with and oversee relevant team members to keep cross-functional workstreams aligned and on track
- Coordinate with internal teams and external stakeholders across multiple time zones to support the MD's engagements and obligations
- Maintain confidential records, contracts and documentation across shared systems
- Anticipate requirements and proactively resolve issues before they escalate
Requirements
- Substantial experience supporting at MD or C-suite level, ideally within professional services, consulting or executive search
- Demonstrated ability to manage complex, high-variability schedules and competing priorities
- Experience coordinating teams, projects and research workstreams in a senior support capacity
- Confident chairing or facilitating meetings and driving outcomes
- Strong written and verbal communication skills to a professional services standard
- Highly organised with reliable follow-through and strong attention to detail
- Sound independent judgement in prioritisation and escalation
- Absolute discretion with confidential information
- Comfortable working across international time zones with flexibility around schedule when required
- Self-directed and effective working remotely
- Proficient with business productivity tools and able to adapt to new systems quickly
