Job Summary
We are seeking an experienced HOA Accountant with hands-on experience using Vantaca. The ideal candidate will manage financial operations for multiple homeowner associations, ensuring accuracy in accounting processes, compliance with HOA regulations, and timely reporting. This role is essential for maintaining smooth financial management and supporting board members, property managers, and residents.
Key Responsibilities
Financial Management & Reporting
Manage the full accounting cycle for HOAs, including accounts payable, accounts receivable, and general ledger maintenance.
Prepare accurate and timely monthly financial reports for HOA boards.
Perform bank reconciliations, account reconciliations, and variance analysis.
Assist in annual budget preparation and long-term financial planning.
HOA-Specific Accounting
Manage assessments, dues collection, late fees, and special assessments.
Ensure compliance with HOA governing documents and state/federal regulations.
Track reserve funds and maintain records of capital expenditures.
Support annual audits and coordinate with external auditors as needed.
Vendor & Board Support
Process vendor invoices, verify approvals, and ensure timely payments.
Maintain accurate vendor records and respond to vendor inquiries.
Provide financial updates and insights to HOA boards and property managers.
System & Process Management
Use Vantaca for accounting, billing, and financial reporting.
Identify opportunities to improve efficiency in HOA financial processes.
Maintain accurate digital records of financial transactions and correspondence.
Qualifications & Requirements
Minimum 2 years of accounting experience, preferably in HOA or property management accounting.
Hands-on experience with Vantaca is required.
Strong knowledge of GAAP and HOA accounting principles.
Proficiency with accounting tools such as QuickBooks, Excel, and other financial software.
Excellent organizational skills, with high attention to detail and accuracy.
Strong written and verbal communication skills for remote collaboration.
Preferred Qualifications
CPA or equivalent accounting certification (U.S. or international).
Prior experience supporting U.S.-based HOA clients.
Background in audit preparation and financial compliance.
Additional Requirements
Must be currently residing in the Philippines, Latin America or South Africa.
Must have a stable internet connection and a remote-ready workstation.
